This is a translation for reference. The official text is the Japanese version below; if they differ, the Japanese version prevails.

Who manages your personal information

1. Information we collect

Account information: your email address (and your name and profile picture, if you sign in with Google), the language you last used, when the account was created and when you last signed in, and when you agreed and to which version of these texts at sign-in.
Content you enter in the form and save as a draft: name, date of birth, nationality, address, residence card number, employer or sponsor details, and so on.
Some questions in the form may concern sensitive information, such as whether you have been criminally punished or a mental-health condition. This is recorded only if you enter it yourself, and it is handled like the rest of the draft (encrypted, used only to fill in the form). Entering it in that field is taken as your consent to our processing of the sensitive information for this purpose.
Information about other people (family, sponsor, company, etc.) that you enter: you need their permission. We handle it like the rest of the draft.
Feedback you send (message, whether the file was correct, device/browser type) and your downloads history.
Essential cookies: a sign-in cookie and a cookie that records your consent (kept for up to 1 hour). Access logs (IP address) are used for rate limiting and abuse prevention and are deleted within 1 day.
Payment information when you buy a download pass: the Stripe transaction ID, the plan bought, the amount, the time of purchase and whether it was refunded. Card details and anything else you enter on the payment page (cardholder name, billing address, etc.) are received directly by Stripe; we do not receive or store card numbers.

2. Residence card photo

When you use card scanning, the photo is read on your own device. It is never uploaded to our server; only the recognized text is placed in the form for you to review.

3. Purpose of use

Providing the form wizard, document checklist and application file export.
Saving drafts so you can continue on another device.
Sign-in, identity verification and abuse prevention (including limiting the trial downloads to once per email).
Administration and support: administrators can see users' emails, account-creation and sign-in times, downloads history and feedback. The app gives administrators no way to view the contents of drafts.
Sending a reminder email when your downloads are about to expire or your drafts are about to be deleted (it states only a number and a date, nothing you entered), in the language you last used. You can opt out with the link in the email.
Payment processing: activating the download pass you bought, handling refunds and payment disputes, accounting and tax obligations, and preventing fraud.

4. Storage and deletion

Drafts are encrypted before being stored in the database.
Drafts are deleted automatically after 30 days without updates.
Answers about criminal records and mental health are not saved in drafts; you will enter them again when you return.
You can delete your account at any time from the account menu; your drafts, downloads and feedback are deleted with it.
An account with no activity (sign-in, saving a draft, downloading a file, feedback) for 24 months is announced by email to the registered address at least 30 days before it is deleted automatically with all related data. Signing in again keeps the account. Accounts holding downloads that have not expired are not deleted.
So that each email gets the trial downloads only once, we keep a one-way hash of the email, created with a secret key of ours so it cannot be used to recover the address. The hash is kept even after the account is deleted, for at most 365 days from its creation, and is then deleted automatically. For the same period we also keep the email domain (the part after the @) to limit abuse of the trial points.
To limit how many people one account downloads applications for (see the Terms of Use), on each download we keep a one-way hash of the applicant's name and date of birth, created with a secret key of ours so the name and date of birth cannot be recovered. The hash is deleted 30 days after the last download for that person, or when you delete your account.
Payment records (transaction ID, plan, amount, time) are kept for as long as tax and accounting law requires. When you delete your account the records are kept but no longer linked to it.

5. Exporting the application

When you download or preview a PDF (even if you are not signed in), the form contents are sent to our application server (located in the United States) only to generate the file. We do not keep them other than in a draft you chose to save.

6. Processors

Google: sign-in with a Google account.
Resend: sending sign-in emails, the document-list email when you ask for it (which contains none of the personal information you entered) and the reminder email when downloads are about to expire or drafts are about to be deleted.
Neon: database.
Vercel: hosting and operating the website.
Stripe: processing payments when you buy a download pass. We send Stripe your email address, an internal account ID and the plan you chose; what you enter on Stripe's payment page is handled by Stripe under Stripe's own privacy policy.
These providers process data only as far as necessary to run the service.

7. Transfers abroad

The providers above are foreign companies (mainly in the United States). The database (Neon) is located in the United States (AWS, us-east-1 region) and the application servers (Vercel) are in the United States by default. Your data (email, access logs, encrypted drafts) is stored and processed there. The United States has no single comprehensive federal personal-data protection law equivalent to Japan's Act on the Protection of Personal Information; protection rests on sector-specific federal laws and individual state laws, so the level of protection and the rights of data subjects may differ from Japan's.
Our measures: we hand over only the data that is needed, drafts are encrypted before being stored in the database so the database provider (Neon) cannot read their contents (the encryption key sits in the application server's configuration, and when you download a file the form contents are processed temporarily on the application server), data travels over HTTPS, and we choose providers that publish their security measures.
Stripe is also a foreign company and may process payment information in the United States and other countries under its own policies.
By ticking the consent box when you sign in, you agree to the transfer described above.

8. Sharing with third parties

We do not sell or share your personal information with third parties without your consent, except as required by law.

9. Your rights and how to make a request

You can ask us to disclose, correct, delete or stop using your data, or object to its processing. Drafts can be edited or deleted directly in the app, and your account can be deleted from the account menu.
For other requests, email okatech0311@gmail.com from the address you registered the account with (so we can verify your identity) and say what you are asking for. We reply without delay, normally within 14 days, and currently charge no fee.
Complaints about how we handle personal information go to the same address.

10. Security

We take reasonable measures such as encrypting drafts, using HTTPS and limiting access to prevent leaks and unauthorized changes.

11. Changes to this policy

This policy may be updated. The date of the latest update is always shown at the top of the page. It is written in Japanese, and the Japanese version is the official text. Versions in other languages, including this one, are translations for reference; if they differ, the Japanese version prevails.

個人情報の管理者

1. 取得する情報

アカウント情報：メールアドレス（Googleでログインする場合は氏名、プロフィール画像も）、直近にお使いの言語、アカウント作成日時、最終ログイン日時、ログイン時に同意された日時と規約・ポリシーの版。
下書き保存のためにフォームへ入力された内容：氏名、生年月日、国籍、住所、在留カード番号、所属機関または扶養者の情報など。
フォームには、刑罰を受けたことの有無や精神の機能の障害など、要配慮個人情報に当たり得る質問が含まれます。これらはご本人が入力した場合にのみ記録され、他の下書き内容と同様に（暗号化し、申請書の記入のみに）取り扱います。当該欄へのご入力は、この目的での要配慮個人情報の取扱いへの同意とみなします。
ご家族、扶養者、身元保証人、所属機関など第三者の情報をご入力の場合は、その方の許可を得てください。当社は他の下書き内容と同様に取り扱います。
お寄せいただくご意見（内容、ファイルが正しかったか、端末・ブラウザの種類）およびダウンロード回数の履歴。
必須Cookie：ログイン用Cookie、および同意を記録するCookie（最長1時間）。アクセスログ（IPアドレス）は、リクエスト回数の制限と不正利用の防止に使用し、1日以内に削除します。
ダウンロードパスご購入時の決済情報：Stripeの取引ID、購入したプラン、金額、購入日時、返金の有無。カード情報および決済ページでご入力いただく情報（カード名義、請求先住所等）はStripeが直接受け取り、当社はカード番号を受け取らず、保存もしません。

2. 在留カードの画像

カード読み取り機能を使うと、画像はお使いの端末上で認識されます。画像は当社のサーバーには送信されず、認識された文字のみがご確認用にフォームへ入力されます。

3. 利用目的

フォーム入力、必要書類リスト、申請書ファイル出力の提供。
他の端末で続きを入力できるようにするための下書き保存。
ログイン、本人確認および不正利用の防止（試用のダウンロード回数を1メールにつき1回に制限することを含む）。
運営・サポート：管理者はユーザーのメールアドレス、アカウント作成・ログイン日時、ダウンロード回数の履歴、ご意見を閲覧できます。アプリには、管理者が下書きの内容を閲覧する機能はありません。
ダウンロード回数の有効期限が近いとき、または下書きがまもなく削除されるときのリマインドメールの送信（件数と日付のみで、入力内容は含みません。直近にお使いの言語で送信）。メール内のリンクから配信を停止できます。
決済処理：購入されたダウンロードパスの有効化、返金・支払い紛争への対応、会計・税務上の義務の履行、不正利用の防止。

4. 保存と削除

下書きは暗号化してからデータベースに保存します。
下書きは、30日間更新がない場合に自動的に削除されます。
犯罪歴および精神の機能の障害に関する回答は下書きに保存されません。再開時に改めて入力していただきます。
アカウントはアカウントメニューからいつでも削除でき、下書き、ダウンロード回数、ご意見も同時に削除されます。
24か月間利用（ログイン、下書き保存、ファイルのダウンロード、ご意見の送信）のないアカウントは、自動削除の30日以上前に登録メールアドレス宛てにお知らせし、関連するすべてのデータとともに自動的に削除します。再度ログインすればアカウントは保持されます。有効期限内のダウンロード回数が残っているアカウントは削除しません。
試用のダウンロード回数を1メールにつき1回に限るため、当社の秘密鍵で作成したメールアドレスの一方向ハッシュを保持します。アドレスの復元には使えません。このハッシュはアカウント削除後も、作成日から最長365日間保持し、その後自動的に削除します。同じ期間、試用のダウンロード回数の不正利用を抑えるため、メールのドメイン（@より後ろの部分）も保持します。
1つのアカウントで書類をダウンロードできる申請人の人数を制限するため（利用規約参照）、ダウンロードのたびに、申請人の氏名と生年月日から当社の秘密鍵で作成した一方向ハッシュを保持します。氏名や生年月日の復元には使えません。このハッシュは、その申請人について最後にダウンロードした日から30日後、またはアカウントを削除したときに削除します。
決済記録（取引ID、プラン、金額、日時）は、税法・会計に関する法令が求める期間保存します。アカウントを削除した場合も記録は保存しますが、アカウントとの紐付けは解除されます。

5. 申請書の出力

PDFをダウンロードまたはプレビューする際（ログインしていない場合を含む）、フォームの内容はファイル作成のためだけにアプリケーションサーバー（米国）へ送信されます。ご自身で保存された下書き以外には保存しません。

6. 処理を委託する事業者

Google：Googleアカウントでのログイン。
Resend：ログインメール、ご要望時の必要書類リストメール（入力された個人情報は含まれません）、ダウンロード回数の期限または下書き削除のリマインドメールの送信。
Neon：データベース。
Vercel：ウェブサイトのホスティングおよび運用。
Stripe：ダウンロードパス購入時の決済処理。当社はStripeにメールアドレス、内部のアカウントID、選択されたプランを送信します。Stripeの決済ページでご入力いただいた情報は、StripeがStripe自身のプライバシーポリシーに従って取り扱います。
これらの事業者は、サービス運営に必要な範囲でのみデータを取り扱います。

7. 外国への提供

上記の事業者は外国の事業者（主に米国）です。データベース（Neon）は米国（AWS、us-east-1リージョン）に、アプリケーションサーバー（Vercel）は既定で米国にあります。メールアドレス、アクセスログ、暗号化された下書きは当該地域で保存・処理されます。米国には日本の個人情報保護法に相当する包括的な連邦法はなく、分野別の連邦法と各州の法律により保護されているため、保護の水準や本人の権利は日本と異なる場合があります。
当社の措置：必要なデータのみを提供し、下書きはデータベース保存前に暗号化するためデータベース事業者（Neon）は内容を読めません（暗号鍵はアプリケーションサーバーの設定内にあり、ファイルのダウンロード時にはフォーム内容がアプリケーションサーバー上で一時的に処理されます）。通信はHTTPSで行い、セキュリティ対策を公表している事業者を選定しています。
Stripeも外国の事業者であり、Stripe自身のポリシーに従い、米国その他の国で決済情報を取り扱うことがあります。
ログイン時に同意欄にチェックを入れることで、上記の外国への提供に同意したものとします。

8. 第三者への提供

法令に基づく場合を除き、ご本人の同意なく個人情報を第三者に販売・提供しません。

9. ご本人の権利と請求方法

ご自身のデータについて、開示、訂正、削除、利用停止を求めること、または処理に異議を述べることができます。下書きはアプリ内で直接編集・削除でき、アカウントはアカウントメニューから削除できます。
その他のご請求は、アカウント登録に使用したメールアドレスからokatech0311@gmail.com宛てに、請求内容を明記してお送りください（本人確認のため）。遅滞なく、通常14日以内に回答し、現在は手数料を頂戴しません。
個人情報の取扱いに関する苦情も上記アドレスにお寄せください。

10. 安全管理措置

漏えい、不正な改変を防ぐため、下書きの暗号化、HTTPSによる通信、アクセス制限などの合理的な措置を講じています。

11. 本ポリシーの変更

本ポリシーは更新されることがあります。最新の更新日は常にページ上部に表示します。本ポリシーは日本語で作成しており、日本語版を正本とします。その他の言語版は参考のための翻訳であり、内容に相違がある場合は日本語版が優先します。
